How We Build AI Platforms That People Actually Use
There's a graveyard of AI products that nobody uses. Beautiful interfaces, impressive technology, months of development — all sitting idle because the people they were built for can't figure them out, don't trust them, or don't see the point.
I've contributed to that graveyard. Early in my career, I helped build a tool that was technically brilliant. It could analyze donation patterns and predict giving trends for nonprofits. The algorithm was solid. The accuracy was good. We were proud of it.
Nobody used it.
The nonprofit directors we showed it to would nod politely, say it looked impressive, and never log in again. We couldn't understand it. The tool worked. The data was valuable. Why wouldn't they use it?
It took me a while to figure out what we got wrong, and it changed how I think about building AI-powered products for real organizations.
The Problem Isn't the AI
When an AI platform fails to get adopted, the first instinct is always to blame the AI. Maybe the model isn't accurate enough. Maybe we need more training data. Maybe we should switch from GPT to Claude or fine-tune our own model.
Almost every time, the problem has nothing to do with the AI. It has to do with everything around the AI.
The onboarding takes too long. If someone has to watch a tutorial, read documentation, and configure settings before they can do anything useful, most people quit before they start. Especially in small organizations where nobody has time to learn a new tool.
The interface assumes technical knowledge. Dropdowns labeled "model parameters." Sliders for "temperature." Options for "max tokens." These mean nothing to a church administrator or nonprofit program manager. They're barriers disguised as features.
The output requires interpretation. If the platform gives you a graph or a score and you have to figure out what to do with it, that's not a solution. That's homework. People want answers, not data.
It doesn't fit into existing workflows. If using the AI platform means opening a separate app, copying data from one system, pasting it into another, and then manually moving the output somewhere else — people will do it twice and then stop. The tool has to meet people where they already work.
What We Do Differently
Over the years, I've developed a set of principles for building AI platforms that people actually adopt and continue using. None of them are particularly clever. They're mostly about restraint and empathy.
Principle 1: One Screen, One Action
When someone opens our platform, they should be able to do something useful within sixty seconds. Not after setup. Not after a tutorial. Right now.
That means the first screen they see isn't a dashboard with twelve widgets. It's a single, clear action. "Paste your content here." "Upload your file." "Tell us what you need."
One input. One button. One result.
We can add complexity later, in layers, as people get comfortable. But the first experience has to be immediate and obvious. If someone has to think about what to do next, we've already failed.
Principle 2: Hide the AI
This sounds counterintuitive. Isn't the AI the whole point? Yes — but the user doesn't need to see it working.
When you use Google Maps, you don't think about the routing algorithms, traffic prediction models, and satellite data processing happening behind the scenes. You type where you want to go and it tells you how to get there.
That's how AI platforms should work for non-technical users. They describe what they need. They get a result. The AI is invisible.
No model selection. No parameter tuning. No technical options. We make those decisions based on what works best for the task. The user's job is to provide the input and judge the output.
Principle 3: Speak Human
Every word in the interface matters. Every label, every button, every error message. And all of them should be written in the language the user actually speaks.
Not "Generate output." Instead: "Create my draft." Not "Processing request." Instead: "Writing your newsletter — this takes about ten seconds." Not "Error: Invalid input format." Instead: "We couldn't read that file. Try uploading a Word document or PDF."
We test every piece of text with actual users from the target audience. If a church secretary doesn't immediately understand what a button does, the label is wrong. Full stop.
Principle 4: Make the Output Usable Immediately
When the AI produces something, it should be ready to use — or close to it. Not raw text dumped into a text box. Formatted, organized, and presented in a way that matches how the person will actually use it.
If we're generating a newsletter, the output should look like a newsletter, with headers, sections, and formatting that can be copied directly into their email platform.
If we're creating a report, it should be structured with sections, bullet points, and data presented clearly — not a wall of prose that someone has to manually reformat.
If we're producing a social media post, it should be the right length for the platform, with hashtags if appropriate, and ready to paste.
The closer the output is to "done," the more likely people are to use the tool again.
Principle 5: Build Trust Through Transparency
Non-technical users often don't trust AI output, and honestly, they shouldn't trust it blindly. The answer isn't to hide this concern — it's to address it directly.
We show users what the AI used to generate its output. "Based on the information you provided about your food bank's meal statistics and the donor segment you selected, here's your draft."
We make editing easy and obvious. Every output comes with clear options to modify, regenerate, or adjust. The user is always in control.
We never auto-send or auto-publish anything. The human always reviews and approves before content goes anywhere. This isn't just a safety feature — it's a trust feature. When people know they'll always have the final say, they're more willing to engage with the tool.
Principle 6: Design for the Least Technical User
In every organization, there's a range of technical comfort. You might have a twenty-five-year-old office manager who grew up on smartphones alongside a sixty-eight-year-old volunteer coordinator who still double-clicks on links.
We design for the sixty-eight-year-old. Every time.
Large text. Clear buttons. No nested menus. No icons without labels. Generous whitespace. Obvious navigation. If it works for the least technical person in the room, it works for everyone. The reverse is never true.
The Development Process for AI Platforms
Building an AI platform isn't fundamentally different from building any other software — it just has some unique considerations.
Start With the Workflow, Not the Technology
Before we write a single line of code, we shadow the people who will use the platform. We watch how they work. We ask what frustrates them. We map out their process step by step.
Only after we understand the human workflow do we start thinking about where AI fits. And usually, AI fits in fewer places than you'd expect. Most workflows have three or four steps where AI adds real value and a dozen others where it would just add complexity.
Prototype With Real Users Fast
Within the first two weeks of a project, we have a working prototype — ugly, incomplete, but functional — in front of real users. Not stakeholders or executives. The actual people who will use the tool every day.
Their feedback at this stage is invaluable because it's honest. They're not looking at a polished product and being polite. They're looking at a rough tool and telling us whether it actually helps.
Iterate Based on Behavior, Not Opinions
After launch, we watch how people actually use the platform. Where do they hesitate? What do they skip? When do they close the tab? This behavioral data tells us more than any survey or feedback form.
If people consistently ignore a feature, we remove it. If people consistently perform an action that the platform doesn't support, we add it. The platform evolves based on what people do, not what they say they'd do.
Why This Matters for Small Organizations
Enterprise companies can afford to deploy complex AI platforms and then spend months training people to use them. They have change management teams, internal trainers, and IT support desks.
Small organizations don't have any of that. If a tool doesn't work intuitively from day one, it won't get a second chance. There's no IT team to call. There's no training budget for a consultant to come in and teach everyone. The tool either works for real people with real constraints, or it collects dust.
That's why I'm passionate about building for this audience. It forces you to be a better builder. You can't hide behind complexity or documentation. You can't assume away the onboarding problem. You have to make something that genuinely, immediately helps — or it dies.
And when you get it right — when you build something that a church office manager opens on Monday morning and it actually saves her two hours that week — that's a feeling no amount of enterprise contracts can match.
